U Tutors LLC, doing business as U Tutors Academy. 5915 Ponce de Leon Blvd, Suite 18, Coral Gables, FL 33146 · 786-730-6332 · ututors@ututorsacademy.com
Version 2026-10-28 · Effective October 28, 2026 · Published at us.ututorsacademy.com/privacy
This notice covers us.ututorsacademy.com and its forms. The online practice platform at practice.ututorsacademy.com has its own privacy notice and children's privacy notice.
What this notice covers
This notice explains what the website at us.ututorsacademy.com and its forms (the “Site”) collect, why, who processes it, how long we keep it and how to ask us to delete it. Our Website Terms (us.ututorsacademy.com/terms) cover the Site and our tutoring. Information about enrolled families is covered by our Privacy Policy for Tutoring Clients (us.ututorsacademy.com/client-privacy), and the online tools used in tutoring by our Children’s Privacy Notice (us.ututorsacademy.com/children-privacy). The online practice platform at practice.ututorsacademy.com has its own Privacy Notice and Children’s Privacy Notice.
What you send us
Forms. When you request a free consultation or ask about a program, the form asks for your first name, email address and phone number, and, if you choose, the student’s first name, the student’s grade band, the subject, where and when you would like sessions, how you heard about us, whether you would like to use a Step Up For Students scholarship, and anything else you want to tell us.
Calls and texts. A call or text to 786-730-6332 gives us your number and what you say. We record or transcribe a call only if we tell you at the start of the call and you agree, as Florida law requires (Fla. Stat. ch. 934).
Why. We use this information to answer you, to arrange the free consultation and, if you enroll, to provide tutoring.
Forms are for adults. Our forms are for parents, legal guardians and adult students. A student in grade 7 or below is asked to have a parent fill in the form instead. If we learn that a child under 13 has sent us information through the Site, we delete it.
How we contact you
When you send a form, you ask us to contact you about your request, so we may call, text or email you about it. We make these calls only between 8 a.m. and 8 p.m. your local time. We send marketing texts or calls using an automated system only if you give the optional consent on the form, or in the Client Services Agreement; that consent is never required to get a consultation or to buy anything. Reply STOP to any text and texts stop at once (we may send one confirmation text); use the unsubscribe link in any marketing email, or ask us, and we stop within ten (10) business days.
What the Site records on its own
Tags and cookies. Google Tag Manager, Google Analytics 4, Google Ads conversion tracking, the Meta (Facebook and Instagram) Pixel and HubSpot’s tracking code record page views and the steps that lead to a request, and set cookies that collect your IP address and device and browser details. They record that a form was sent, not what you typed in it, except as described next.
Contact details sent for ad measurement. When you send a request through the Site, we send your email address and phone number to Google and Meta in hashed form, scrambled one way (to Meta, also your first name in hashed form, and your device’s IP address and browser details, which are not hashed), with the ad’s click identifier (Google’s gclid or Meta’s fbclid) if you came from one of their ads, so they can match the request to advertising activity they already recorded; we may report your enrollment the same way. When the form shows that a student filled it in, we do none of this and no advertising tag records the request, and we never send information about a student under eighteen (18) to an advertising platform.
Video. The video of the center is a YouTube video shown in YouTube’s privacy-enhanced mode. Google receives your IP address and device data when the player loads, and may use cookies or similar technology when you play it, under Google’s privacy policy (policies.google.com/privacy).
Who receives it
We do not sell personal information. The advertising cookies described above let Google and Meta use what they collect on the Site to show you our advertising on their services and to measure it; some privacy laws call that “sharing”, and the choices below limit how Google and Meta use it to personalize ads. These service providers process information on our behalf, each for the purpose named, under its own terms and security practices:
TutorCruncher (scheduling, billing and the client portal): every form request creates an inquiry there, and enrolled families’ records live there.
HubSpot (client relationship records and marketing): a copy of each form request and the tracking described above, so we can follow up.
Vercel (hosting): serves the Site and runs the small service that delivers your form to these tools; it keeps short-lived request logs.
Slack (internal notifications): a notice that a request arrived, with your name and how to reach you, so someone answers quickly.
Quo (our phone system): calls and texts to and from 786-730-6332.
Microsoft 365: our email.
Google (Tag Manager, Analytics, Ads and YouTube) and Meta (the Pixel, and lead forms on Facebook and Instagram) receive the information described above for measurement and advertising. They receive it under their own terms and may also use it for their own purposes, as their privacy policies explain.
We share information otherwise only when the law requires it or to protect someone’s safety, and, if U Tutors is sold or merged, with the buyer, which must keep the promises in this notice.
Coral Gables Psychological Services, an independent psychology practice, does not receive your information from us. If you ask about its free consultation, we give you its public phone number and website so you can contact it directly. Neither business pays or receives anything for referrals.
We may also create aggregated, de-identified information, which can no longer be linked to any person or family, and use it for research, program design and reporting; we may share or sell it. We never create such data from information collected online from a child under 13.
Your choices
Advertising cookies. Opt out of personalized advertising at Google Ads Settings (adssettings.google.com) and in Meta’s ad preferences (www.facebook.com/adpreferences), or block third-party cookies in your browser. The Site works without them.
See, correct or delete your information. Email ututors@ututorsacademy.com from the address you gave us, or call 786-730-6332. We answer within ten (10) business days. We may keep records the law requires us to keep, such as invoices.
Marketing messages. Reply STOP to a text, use the unsubscribe link in an email, or ask us (see “How we contact you”).
How long we keep it
A request we could not reach, or that did not lead to enrollment: up to two (2) years, so we can answer if you come back, then deleted.
An enrolled family’s records: as set out in Section B.6 of the Privacy Policy for Tutoring Clients.
Analytics data: kept under each tool’s retention setting; Google Analytics keeps event data no longer than fourteen (14) months.
Cameras and audio recording at the center
The center’s security cameras record video only, with no audio, at all times, in common areas and study cubicles. Only U Tutors management views the footage, to look into a safety incident or complaint or when the law requires; it is never used in marketing and is kept for ninety (90) days, longer only if an incident is flagged. A tutoring session is audio-recorded only with a signed Audio Recording Consent, and for a student under 13 only after the parent’s consent is verified; recordings are shared only with the client and the instructor, never used in marketing, and deleted sixty (60) days after the session or sooner on request. Full terms are in Section A.10 of the Client Terms and in the Privacy Policy for Tutoring Clients.
Children
The Site and its forms are for parents and adult students. A parent may give the student’s first name and grade so we can prepare the free consultation. We do not knowingly collect personal information from a child under 13 through the Site, and we delete it if we learn we have. The online tools used in tutoring follow our Children’s Privacy Notice (us.ututorsacademy.com/children-privacy), and the practice platform follows its own children’s privacy notice, as the Children’s Online Privacy Protection Act requires.
Security
We use reasonable administrative, technical and physical safeguards. If a breach of security affects your personal information as defined in Fla. Stat. § 501.171, we will notify you no later than thirty (30) days after we determine that a breach occurred or have reason to believe one occurred, unless a law-enforcement agency asks us to delay, and we will notify the Florida Department of Legal Affairs if 500 or more individuals in Florida are affected.
Accessibility
If any part of the Site is hard to use with a disability, contact us at ututors@ututorsacademy.com or 786-730-6332 and we will give you the information another way and work to fix the problem. Our accessibility statement is in Section 17 of the Website Terms.
